A jewelry SKU naming system should give each sellable variant its own stable code. One workable approach combines a product type, a permanent design number, a material code and a size code. The design number matters: two different rings can share the same metal and size, so those attributes alone will not identify the item.

SKUs are internal inventory identifiers, distinct from barcodes. Shopify recommends consistent, unique codes for product variants and explains the difference in its SKU documentation. The format below is a hypothetical recommendation for a small jewelry brand, not an industry standard or a required Shopify format.

Choose a format that distinguishes the design

For this example, use R014-GF-070. Read it from left to right: R identifies a ring, 014 identifies a particular design, GF is this business’s code for a gold-filled variant, and 070 represents US ring size 7.0. Keep a written code dictionary so another person can interpret the same record without asking the founder.

The size field in this example uses US size multiplied by ten and padded to three digits: 7.0 becomes 070, 7.5 becomes 075, and 8.0 becomes 080. This rule covers whole and half sizes. If you sell quarter sizes, define a different precision rule before adopting the format; never round a size just to make it fit a code.

Treat material abbreviations as internal labels. Record the full, verified material description in a separate field, and use different codes for materially different variants. Do not use a generic gold code for products that customers or fulfillment staff need to distinguish. Names, prices and storage locations can change without changing the identity of the item, so keep them outside this example’s SKU.

Test three variants before naming the full catalog

These hypothetical products show why the design number and size both belong in the proposed format:

  • R014-GF-070: design 014, gold-filled variant, US size 7.0.
  • R014-GF-075: the same design and material, US size 7.5.
  • R015-GF-070: a different design, the same material and US size 7.0.

The first two codes differ by size. The first and third differ by design even though their material and size match. If you removed the design number, the two size-7 rings would collide. Check the proposed format against similar-looking items in your own collection, not only products that are obviously different.

Keep the design number stable when you rename a collection. If a redesign creates a separately stocked product, assign it a separate identity and record the relationship to the earlier design. The code should let a picker select the right item even when a marketing name changes.

Build a naming worksheet with a duplicate check

Use one row per sellable variant. A useful starting worksheet contains these fields:

  • Product type and permanent design number.
  • Full material description and its agreed abbreviation.
  • Customer-facing size, size system and encoded size.
  • Existing SKU, proposed SKU and product-record reference.
  • Duplicate-check result, reviewer and review date.

Keep locations and stock quantities in your broader inventory record; this worksheet’s job is to establish identity and map changes. Store design numbers and encoded sizes as text where needed so leading zeros survive spreadsheet edits and exports. Reopen an exported file during the trial and confirm that 014 and 070 still appear correctly.

Check both directions: each code should point to one variant, and each variant should have one intended code. A duplicate-code check alone will not catch the same item accidentally entered twice under different SKUs. Compare the worksheet with the product records and a small physical sample.

Migrate existing SKUs in a controlled batch

Treat a SKU change as a change to connected records. Before editing the full catalog, use a small trial to find out which labels, order records or connected tools rely on the old values. The checklist below is a suggested rollout sequence:

  • Export the existing records and keep an old-to-new SKU mapping.
  • Resolve duplicate records and ambiguous material or size descriptions.
  • Try the new format on a small group containing similar designs and adjacent sizes.
  • Check the relevant store, picking labels and connected tools for matching values.
  • Have a second person locate and pack sample variants using the new codes.
  • Fix exceptions, approve the code dictionary, then expand the rollout.
  • Retain the mapping so older orders and customer questions remain traceable.

When a new variant arrives, assign its code through the same worksheet and checks. This keeps the naming convention useful after the first cleanup, without requiring every inventory decision to be encoded in the SKU itself.
